Treatment plans, sessions and quotes

When a treatment stretches over several visits, neither paper nor memory can carry the plan. In HekimBis a plan starts as a quote, is confirmed by the patient's approval, advances with every session and, if it changes, is kept with its revision history. What was quoted, approved, done, used and collected shows on the same lines of the plan.

A dental implant, a physiotherapy series, an aesthetic protocol or a fertility treatment is not finished in one visit. The plan shows the whole treatment as ordered steps and sessions.

Every session is tied to an appointment. When the session takes place the plan moves forward, the supplies used leave the stock, and the price or package balance is updated. The physician sees where the patient stands in the plan.

The quote comes from the plan. When the patient approves it an approval record is created, and the difference between the approved quote and the work actually done stays visible. If the scope changes a new revision is opened and the earlier version is kept.

From quote to revision, including cancellation and refund

The quote is approved, sessions take place, supplies are deducted and the balance is updated. If the plan changes a revision is opened, and if it is cancelled the refund rule applies to the unused balance and its effect on the physician's revenue share becomes visible. No earlier version is deleted at any step.

  2. 02 Patient approval (Patient) The patient reviews and approves the quote; an approval record is created. If not, the quote is revised.

07 Revision

The plan works together with finance, inventory and session records

A treatment plan is touched not only by the physician but by the front desk, finance and inventory. The front desk places sessions on the calendar, the physician manages the clinical content, finance follows the quote and the payments, and inventory deducts the supplies used, with everyone looking at their own share of the same plan.

    When a session package is sold, a balance is opened. Each session is deducted from it, and the remaining sessions and usage history show on the patient's account. Package and credit management is part of the Pro and Clinic plans.

    If a procedure kit is defined for the procedure, the supplies leave the stock together with the session. When the quantity actually used differs, an authorized user corrects it and the correction leaves a trace. Traceable supplies such as implants are linked to the patient.

How does a session package work?

Is the same plan structure used for every specialty?

The planning foundation is shared, and a specialty pack adds specialty-specific content, such as the odontogram and sessions for dentistry, area and product lot for aesthetics or an exercise prescription for physiotherapy. One specialty's needs therefore never crowd another's screen.

How do I send the quote to the patient?

The quote can be generated as a PDF from a document template and shared with the patient through a time-limited, revocable secure link. The patient's approval is recorded as a consent entry, and which version was approved and when stays in the patient file.

Which specialties use treatment plans?

In every specialty that offers multi-session services, such as dentistry, orthodontics, physiotherapy, medical aesthetics, hair transplantation, IVF, dietetics and psychology. Each specialty's session content, supply kit and follow-up protocol comes from its specialty pack.
