Is there free patient tracking software?

How the seven-day trial works

The trial starts when the two steps of registration are complete. In the first step your name, surname, e-mail, mobile phone and password are entered, and the e-mail is verified with a six-digit code. In the second step the legal title, tax details, billing address and a declaration of authority to represent the business are collected; these details are used only for billing and verification. The phone is verified with a one-time code, and then your trial workspace opens. No card or payment method is asked for in this process.

The period is an uninterrupted 7 × 24 hours from activation. The trial workspace shows the capabilities of the Lite package on sample data: it is not a paid Lite, but you see what Lite does and how it works through all its screens.

When the period ends, the workspace stays readable and does not turn into a paid package on its own; no automatic payment is taken from you. If you do not decide within thirty days, the sample data is deleted. A separate step is followed to move to real use: verification of the organization and its authority to represent, the contract, approval of the plan version, payment, and naming the owners of roles, branches and retention. What you can do in the trial

The trial workspace works like a real clinic; the difference is that the patients in it are samples. You can book appointments, record arrivals, write and sign exam records, place test orders, enter charges and take payments, and see the patient portal and the mobile app. Your specialty's exam screen, forms and widgets are in the trial workspace too.

Using the trial with your team rather than alone is more instructive. Look at Lite's ready small-team roles and the permission screen; sit down at the screen with your front-desk employee, your physician and your manager and review the flow from the point of view of their roles. That way you confirm role-based visibility with your own eyes, for example that the front desk does not see the clinical note. Sample data gives a realistic flow but does not represent the load of a real clinic; so judge how well the screens and flows fit.

Three suggestions for using the seven days well: first open your own specialty's exam screen, then walk a patient from appointment to payment from start to finish, and finally think through your team's roles and look at the permission screen. That way you have a concrete experience when you decide.

When you sit down with your team for the trial, give each role its own question. The physician should check whether the exam form fits their specialty and how signing works. The front desk should try how many steps it takes to register a new patient and book an appointment, and how the duplicate warning looks. The manager should see that the occupancy, no-show and payment reports at the end of the day come from the same records. If each role is comfortable in its own work, the system fits the daily flow; if someone struggles, that is something to talk about before activation.

What free programs really cost

Most of the options you meet in searches for free practice software or downloading patient tracking software look free but charge on another line. The three items below are often overlooked. This is a general warning, not a claim about any particular product.

  • Backup and data security

    The backup of a program installed on a computer often depends on the user remembering. When the computer breaks, is stolen or is hit by ransomware, patient files can be lost.   • KVKK and mandatory reporting

    Health data is special-category personal data. A program that does not offer separate privacy notice and explicit consent records, role-based access and an audit trail does not protect your patient and leaves you exposed to liability.   • Support, updates and exit

    When a free program breaks or regulations change, who you call, when the program will be updated and how you will move your data to another system are unclear. If your data is stuck in a proprietary file format, leaving can be expensive.

There is one more risk in searches for downloading patient tracking programs: a program whose source cannot be verified can also be a door for malicious software once it is installed on a computer that holds patient data. Running software whose maker, update routine and support channel are unknown on a computer that stores health data is one of the most expensive choices that being free brings.

At the end of the trial, ask yourself these questions. Could I take a patient from appointment to payment without leaving the screen? Does my specialty's exam screen really speak my language? Did my team understand what they will see in each role? Do I know what setup my devices and mandatory reporting need? If you answer yes to these four, you can move on to the activation steps; if one is unclear, it is healthier to ask for a demo and talk it through on your own flow.

What to have ready when moving to activation: the legal title and tax details, the billing address and e-mail, information showing authority to represent the business, who will own roles and branches, and the source files of any records to be imported. Collecting these during the trial shortens the process on the day you decide.
