Psychologist appointment and session software

In counseling, progress has to be followed without getting lost between sessions. HekimBis ties every session to the client's goals: session note, goal status, scale score and package balance sit on the same card, while appointments and payments run in an access layer separate from the notes.

Appointments, payments and notes no longer rest on one person

A psychologist often works independently, so appointments, payments, notes and reminders rest on one person's shoulders. The workspace lightens that load: appointment reminders go out on their own, package sessions decrease as they are completed, and payments are tracked. During a session only the goal card and the note area are open.

When you open the card of a client who comes for a weekly session, the goals from the previous session, the focus set for this one and the number of sessions left in the package appear side by side. At the end you write a short note and update the goal's status. The note is stored as a sensitive note, and the reminder message does not contain the type or subject of the session.

The card brings the client's goals and sessions into the same view. At the top are goals and the status of each (started, progressing, completed, to be revisited), and below is the timeline of sessions. A goal label is tied to each session, and the scale score linked to a goal appears as a small serial line. The package balance sits in the corner of the card.

Three routines of a psychology practice

Session plan and package
Recurring sessions, package balance, no-show and cancellation rules are defined; payment and remaining sessions are in the same record.
Scale and goal tracking
Validated scales are kept with source and version, scores are calculated, and goals and serial follow-up tie to the plan.
Online sessions
Remote sessions take place with the facility's permission and defined recording conditions; session recording is off by default.

The note is protected apart from the appointment

Session notes are classified apart from the rest of the clinical record and are open only to authorized roles. Appointment and payment information is visible at the front desk. Every access is written to the audit log, and emergency access needs a reason, a duration and additional verification. Content the client sees in the portal is published with your approval.

FAQ
Is there a separate profile for psychology?

Yes. Psychology is one of the defined clinical profiles: session plan, goals, validated scales and PROMs, serial follow-up and stricter note access. It is versioned and passes two separate clinical sign-offs before release.

How does it differ from the psychiatry profile?

In the psychology profile, sessions, goals and packages are central instead of the medication plan; the psychiatry profile is built around medication and scales. The two have separate clinical content and separate acceptance gates.

Can clients book their own appointments?

Online booking, a waiting list and reminders are available through the patient portal; the calendar is fed from a single source and double booking is prevented.

How are session fees and packages tracked?

The package balance and payment are kept in the same record, and refunds and cancellations are tracked with a reason. An online payment link can be used.

How is voice recording managed?

Voice recording is off by default and can be enabled only with a separate information notice and separate explicit consent.

What does a reminder message say?

The message contains only the appointment time and a secure link; the type, subject or any health information of the session is not included. The client's communication preference and quiet hours are respected.

Who sees which record?

Roles and branch permissions are defined. The front desk sees appointments and payments, and the psychologist sees the session note; management reports contain no person-level notes. Every access is written to the audit log.
