Getting started
What is patient tracking software, and what does HekimBis do?
Patient tracking software manages appointments, the patient file, clinical records, tests, communication and payments together. HekimBis brings all of these onto the same patient file: the schedule, signed clinical records, imaging and laboratory results, patient messages, a patient portal and finance. What kinds of organizations is it suitable for?
It is designed for scales from a solo practice to a multi-branch clinic, a polyclinic and a diagnostic center. The same product and the same data model are used; as you grow, the plan changes and the data does not move. Starting points by scale are on the Solutions page.
Do I need to install anything, and where does it run?
HekimBis is a service that runs in the browser; no server or desktop installation is needed. There is also a mobile app for physicians. If you want to connect diagnostic devices, the Edge Connector is installed on a computer at your branch.
How does the free trial work?
You sign up in two steps and verify your email and phone, and then the 7 × 24 hour trial begins; no card is needed. The trial is a separate workspace that runs on sample data, and your account does not move to a paid plan on its own when the time is up. The step-by-step description is on the How It Works page.
Plans and pricing
What is the difference between Lite, Pro and Clinic?
All three are growing scopes of the same product. Lite is for a single physician and a very small team, Pro is for a single-branch practice and a professional team, and Clinic is for a multi-branch structure and central management. Where are the prices, and how does the subscription work?
You subscribe monthly or yearly; paying yearly up front gives a 15% starting discount. Current list prices appear on the Pricing page; if pricing is set to your needs, our team prepares a written quote.
What happens to my data if I change plans?
When you upgrade, data is not moved; the new capacity opens on the same organization and the same records. A downgrade takes effect at the end of the paid period and no data is deleted; scope above the new capacity stays in view-only mode for new work, and access to past records continues.
If I leave the subscription, does my data still belong to my clinic?
Yes. The data belongs to the clinic. Authorized people can export the complete set of records securely and get exit support; even if a payment problem occurs, safe access to existing clinical records stays open.
Clinical use
Does it fit my specialty?
The platform offers separate workspaces for 34 specialty and clinical definitions, and the forms, charts, measurements and document templates change with the specialty. You can see which definitions exist on the Specialties page. If you do not see your discipline on the list, you can request a conversation.
Can I change a signed record afterwards?
A signed record is locked. If a correction is needed, a separate correction record is opened with a reason, and who changed what, when and why remains visible in the history; additional information is added as an addendum. Details are on the Clinical records page.
What does the AI assistant do?
The AI assistant converts dictation into a structured draft and shows the physician missing fields and contradictions. A record becomes final with the physician's approval and signature, and the clinical decision stays with the physician. With the assistant switched off, the whole workflow can still be carried out by hand. See AI assistant.
Can I prepare prescriptions?
You can prepare a physician-approved medication and prescription draft and print it. The draft is kept with the examination record in the patient file.
Devices and diagnostics
Which devices does it work with?
A device is added to the supported device list once it is verified by manufacturer, model, protocol and version. The current list is on the Integrations page and is shared in writing during the sales conversation. Files from devices that are not on the list can be imported manually.
What is the Edge Connector, and do I have to open my firewall?
The Edge Connector is a small application that runs on a computer at your branch, receives the message from the device and writes it to an encrypted local queue. It connects outward in one direction, so no port has to be opened to your clinic network from outside. Its updates are signed. See Device connectivity.
If the internet drops, is device data lost?
Records wait in the encrypted queue at the branch, and a warning is raised as the storage quota fills. When the connection is back, records are sent in order and the same result is never processed twice. Records whose patient or specimen match is unclear go to human review.
Does it work with my existing PACS and laboratory systems?
It can connect to an existing PACS, RIS or laboratory system, and there is also a managed archive with a clinical and reference viewer for small and mid-size diagnostic businesses. See Imaging and PACS.
Regulation
How does it support KVKK compliance?
The privacy notice, explicit consent and clinical consent are separate texts, versions and evidence records; they are not combined in a single checkbox. Access is limited by role, branch and care relationship, every access is written to the audit trail, and there is a flow for data subject requests. We recommend reviewing your obligations together with your legal advisor. See KVKK-compliant patient tracking.
How does e-Nabız data reporting work?
A clinical event becomes a data package through versioned mapping, is submitted so that a re-run never creates a duplicate, and is confirmed by a receipt. If there is an error, the record drops into a reconciliation queue and is resubmitted once resolved. See e-Nabız integrated software.
How do online visits work?
An appointment is booked, the patient verifies their identity, gives a separate notice and consent, and waits for the physician in a waiting room. Recording is off by default; when the visit ends, the record is linked to the examination record in the patient's file. See Online visits.
Security and data
Where is my data stored?
Production health data is kept in Türkiye. The hosting and protection approach is described on the Security page.
Who sees which patient information?
Access is decided by weighing your plan, your role, your branch membership, the sensitivity of the data and the care relationship together. Without a care relationship, access is closed; in an emergency, time-limited access opens with a reason, a duration and extra verification, and it is recorded separately. See Roles and permissions.
How are backups and restores handled?
Backups, the ability to go back to a specific point in time, and an encrypted archive are part of the product's foundation and are the same in every plan. Restores are not just planned; they are tested with real drills. The details are on the Security page.
Can the support team access my data?
Support access is tied to a support request, approved by your organization, time-limited and masked, and it is closed when the work is done. Every step is written to the audit trail.
Health tourism
What does HekimBis verify for health tourism?
The facility that accepts international patients has its valid International Health Tourism Authorization Certificate verified, and accreditation or certification details and their validity periods are tracked for the facility type. Details are on the Health tourism page.
Which languages does it work in?
Staff screens are in Turkish and English. The patient portal, forms, consent texts and patient communication are offered in Turkish, English, Arabic, Russian and German, and Arabic screens run right to left. Clinical and legal translations are approved by an authorized person before publication.
Do intermediary agencies see patient information?
An authorized agency receives access for a specific case, with a specific purpose, data fields and duration. The contract and commission records with an agency are the clinic's internal finance records.
Is there a foreign-currency quote, deposit and commission tracking?
Yes. Quotes and deposits are recorded with the currency and the exchange-rate source and time preserved, and a deposit refund rule applies on cancellation. Agency commissions accrue and are tracked in a reconciliation ledger. See Health tourism CRM.
